What goes wrong

Selling stands from a PDF and a spreadsheet

An exhibition carries its own moving parts: a plan that keeps changing, a hall of exhibitors who each owe you something, and a sponsor who wants to know it was worth it.

The plan changes after it has gone out
A stand changes size, an exhibitor swaps, and the PDF everyone is working from is out of date.
Stand income is reconciled by hand
Packages are sold from a spreadsheet, and stand income is reconciled by hand.
Stand visits are not counted
Exhibitors are told the hall was busy. Nobody can show them their own stand was.
Chasing exhibitors for their details
Contacts, products and paperwork arrive by email, late, and someone keeps the list.

    Each package sets what the stand includes

    Exhibitor packages carry their own list price and set what a stand offers: how it opens, and whether it has chat, video or a live stream. Confirmed stand prices go into the event budget.

    Turn the venue PDF into a 3D floor plan

    The venue PDF becomes the floor plan, rendered in 3D, with shell-scheme stands so exhibitors can see the walls they are designing to. The build-up runs from the same run sheet and supplier list as the rest of the event.

    Exhibitors manage their own profile and products

    Exhibitors keep their profile and products up to date in their own branded portal. Attendees browse by exhibitor or by product and walk the hall in the event app, and booth stations scan visitors at the stands.

    Count stand visits from scans

    Stand visits are counted from booth scans on site and from stand opens in the app, which carry dwell time, and the heat map plays the hall back over the day on a time scrubber.

Questions about exhibitions & trade shows

How is Expo priced?
As an expansion pack for one exhibition, priced by stand count, rather than something bundled into a plan, so an organiser running one exhibition a year is not paying for it all year.
Can we use our venue's floor plan?
Yes. Upload the venue PDF and the floor plan is built from it, then rendered in 3D with shell-scheme stands. Stands drawn as solid shapes are detected automatically, and any others are drawn in the builder.
Do exhibitors get their own sign-in?
Yes. Exhibitors work in their own portal, with its own branded sign-in, where they manage their profile and products. Agreed prices and your internal notes never reach it.
Where do stand visit numbers come from?
From scans at booth check-in stations rather than from what exhibitors report, and from attendees opening the stand in the event app, which also records how long they stayed.
